This policy explains how Onfire Tutoring Programme (一團火) (“we”, “us”) collects and uses personal data when you use this website and related services, including student and volunteer applications, event registration, and family updates.

2. What we collect
Depending on how you use the site, we may collect names, contact details (phone, email, WhatsApp), address, school and grade information, relationship within a family, application answers, event registration details, and documents you upload (such as report cards or supporting files).
Staff accounts may also store technical login details needed to operate the admin system. Where Google services are used (for example Maps/Places or Contacts sync for authorised staff), related identifiers may be processed as needed for that feature.
3. Why we use your data
We use personal data to process applications and event registrations, communicate with students, parents, and volunteers, organise tutoring and activities, keep programme records, improve our services, and meet legal or safeguarding obligations.
We do not sell personal data. We only share information with service providers or partners when needed to run the programme (for example hosting, email, or maps), or when required by law.
4. Storage and security
We take reasonable technical and organisational steps to protect personal data, including access controls for staff and encryption for selected sensitive fields and documents where the system supports it.
No method of transmission or storage is completely secure. Please use strong passwords for any account you control and avoid sharing login details.
5. Retention
We keep personal data only as long as needed for programme administration, follow-up, and legal requirements. When data is no longer needed, we delete or anonymise it where practical.
6. Your choices
You may ask us to correct inaccurate information, or request access to personal data we hold about you, subject to applicable Hong Kong law and programme needs.
Parents or guardians should submit and update information for minors. Please tell us promptly if contact details change.
7. Changes
We may update this policy from time to time. The “Last updated” date above will change when we do. Continued use of the site after an update means you accept the revised policy.
